United Pet Club Privacy Policy

This Privacy Policy explains how United Pet Technologies Inc. (“Company,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with UnitedPetClub.com and all of our other websites, subdomains, mobile and desktop applications, APIs, microsites, and services (together, the “Platform”). United Pet Technologies Inc. owns and operates the Platform; United Pet Club Inc. is a separate non-profit Affiliate that may receive information as described below.
This Policy is incorporated into and supplements the Platform Agreement & Consent. Capitalized terms not defined here have the meaning given in that Agreement. Where this Policy and the Agreement conflict regarding personal information, this Policy governs.
1. Scope
- This Policy applies to information about visitors, registered users, members, and Organizations (breeders, clubs, rescues, shelters, veterinary practices, registries, and similar entities) that use the Platform.
- For Organization accounts, the Company may act as a service provider/processor for some data and as an independent controller for other data, as the context requires. Organizations are responsible for their own privacy practices toward the individuals whose data they submit.
2. Information We Collect
2.1 Information you provide
- Account and profile: name, email, phone number, username/handle, password credentials, profile details, organization details, and preferences.
- Pet information: animal identity, breed, lineage and pedigree, photographs, microchip and other identifier numbers, ownership and transfer history, health, medical, reproductive, genetic, behavioral, location, and registry information.
- Content: listings, posts, blogs, reviews, comments, messages, documents, and other User Content you submit.
- Transactions: purchases, sales, subscriptions, donations, payouts, and related billing details (payment card data is processed by our payment processors, not stored by us in full).
- Support and communications: information you provide when you contact us or respond to surveys.
2.2 Information we collect automatically
- Device and connection: IP address, device identifiers, browser and operating system type, language, and referring/exit pages. We derive approximate geolocation from your IP address and parse your user-agent to determine browser, OS, device type, and bot/automation signals for security and analytics.
- Usage: pages and screens viewed, features used, links and buttons clicked, search queries, session duration, scroll and interaction patterns, and timestamps.
- Session-replay and interaction data: through Microsoft Clarity (see Section 4), we collect anonymized recordings of interactions such as mouse movement, clicks, scrolling, and heatmaps to understand how the Platform is used.
- Cookies and similar technologies: as described in Section 4.
2.3 Information from third parties
- If you sign in with or connect a third-party service, we receive the information that service shares (for example, basic profile details).
- We may receive information from partners such as breed registries, insurance providers, payment processors, fraud-prevention services, and analytics and advertising providers.
3. How We Use Information
- Provide, operate, secure, maintain, and improve the Platform and your account.
- Process transactions, subscriptions, donations, and payouts.
- Personalize content, recommendations, and your experience.
- Communicate with you, including service messages and — subject to your preferences — marketing.
- Conduct analytics, measurement, research, and product development.
- Develop, train, validate, and improve artificial-intelligence and machine-learning models and features, including pet-photo recognition and breed/lineage prediction.
- Advance animal health, welfare, breeding, and veterinary research, including with Affiliates and partners, in identifiable or de-identified form.
- Detect, prevent, and respond to fraud, abuse, security incidents, and illegal activity.
- Comply with law and enforce our agreements.
4. Cookies & Tracking Technologies
We and our service providers use cookies, local storage, software development kits (SDKs), pixels, tags, and similar technologies to operate the Platform, remember your preferences, secure your session, measure performance, and — subject to your consent where required — analyze usage and support advertising. We group these into the categories below; you can manage non-essential categories through our cookie/consent controls and your browser settings.
4.1 Strictly necessary
Required to run the Platform — authentication, session management, the acting-profile selection, load balancing, and security/fraud prevention. These cannot be switched off while you use the Platform.
4.2 Functional
Remember choices such as language, locale, and display preferences.
4.3 Analytics and performance
Help us understand how the Platform is used so we can improve it. We use the following providers:
- Google Analytics 4 (Google LLC / Google Ireland Limited). We load Google’s gtag.js via googletagmanager.com and send analytics events to Google to measure traffic, audiences, and feature usage. Google sets cookies (for example _ga and related identifiers) and processes IP-derived and usage data. - Microsoft Clarity (Microsoft Corporation). We use Microsoft Clarity for product analytics, heatmaps, and anonymized session replays of interactions (clicks, scrolling, mouse movement) to diagnose issues and improve usability. Clarity sets cookies and may capture interaction data. Learn more in the Microsoft Privacy Statement.
- Google Tag Manager (Google LLC). Used to load and manage measurement tags described in this section.
4.4 Advertising
Where enabled and permitted by your consent and applicable law, we and advertising partners (which may include Google and Microsoft advertising services) use cookies and identifiers to measure and improve advertising and, where applicable, to show more relevant ads. You can control these through our consent tools and the providers’ opt-outs.
4.5 Your choices
- Manage non-essential cookies and tracking through our cookie/consent controls and your account’s privacy settings.
- Most browsers let you block or delete cookies; some Platform features may not work without them.
- We honor recognized opt-out signals where required by law, including the Global Privacy Control (GPC).
- You can opt out of Google Analytics with the Google Analytics Opt-out Browser Add-on.
5. Marketing & Communications
- Service messages (account, security, transactional, and administrative) are necessary to provide the Platform and cannot be opted out of while you maintain an account.
- Marketing messages are sent by email, SMS/text, push notification, in-app message, and messaging services such as WhatsApp, subject to your preferences and applicable law. We use third-party communications providers (for example, email/SMS/WhatsApp delivery services) to send these. You can withdraw marketing consent at any time using the unsubscribe link or your account settings; message and data rates may apply.
6. Legal Bases for Processing
Where the EU/UK GDPR or similar laws apply, we rely on: performance of a contract (to provide the Platform); your consent (for non-essential cookies, certain marketing, and other opt-in purposes); our legitimate interests (to secure, analyze, and improve the Platform, and prevent fraud); and compliance with legal obligations. Where we rely on consent, you may withdraw it at any time without affecting prior processing.
7. How We Share Information
- Affiliates, including United Pet Club Inc. (non-profit), for the purposes described in this Policy, including welfare, advocacy, education, and research.
- Service providers and processors that host, operate, secure, analyze, and support the Platform — including cloud hosting (Microsoft Azure), analytics (Google, Microsoft), communications delivery, payment processing, and fraud prevention — under contracts that limit their use of the information.
- Partners you choose to interact with, such as insurance providers, breed registries, and payment providers, to deliver services you request.
- Other users and the public, for information you choose to make visible (for example, public pet profiles, listings, posts, and reviews).
- Search engines and AI assistants, which may index, cache, summarize, and cite public pages we make available to them. Profiles of professionals and organizations are listed by default, because being findable is the purpose of a public business listing. Profiles of individual pet owners are not listed unless you opt in. Listing is separate from visibility: a public page remains viewable by anyone who has its link whether or not a search engine lists it. If you withdraw, we remove the page from our sitemap and instruct search engines not to list it, but we cannot compel a third party to delete copies it has already collected.
- Marketplace counterparties, for information necessary to complete transactions you initiate.
- Legal and safety: to comply with law, enforce our agreements, and protect the rights, safety, and property of the Company, users, animals, and the public.
- Business transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred to the successor entity.
- De-identified and aggregated data: we may share or sell de-identified or aggregated data that does not reasonably identify you, without restriction.
8. Artificial Intelligence & Machine Learning
We use User Content and Pet Data (including pet photographs and breed/lineage records) to develop, train, validate, and improve AI/ML models and features, subject to your consent where required. Trained models, their parameters, and outputs are owned by the Company. Where you withdraw a relevant consent, we stop using your data for future training, but this does not require us to retrain or remove models already developed.
9. International Transfers
We and our service providers may process information in countries other than where you live, including Canada, the United States, and others. Where required, we use appropriate safeguards (such as standard contractual clauses) for cross-border transfers. By using the Platform, you understand your information may be processed in these locations.
10. Data Retention
We retain information for as long as needed to provide the Platform, comply with legal, tax, audit, and security obligations, resolve disputes, and enforce our agreements. We may retain de-identified data, aggregated data, content already shared with others, routine backups, and models already trained on your data, as described in the Platform Agreement & Consent.
11. Security
We use technical and organizational measures designed to protect information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12. Your Rights & Choices
- Access, correction, deletion, portability, and objection. Depending on your jurisdiction, you may request access to, correction of, deletion of, or a copy of your personal information, and object to or restrict certain processing. Use your account’s privacy and consent controls or contact us.
- Withdraw consent. You may withdraw consents that require opt-in at any time; withdrawal is prospective only.
- Marketing opt-out. Use the unsubscribe link or your account settings.
- Canada (PIPEDA / BC PIPA): you may access and correct your personal information and challenge our compliance by contacting us; you may also contact the Office of the Privacy Commissioner of Canada or the BC Information and Privacy Commissioner.
- European Economic Area / UK (GDPR): you have the rights listed above and the right to lodge a complaint with your supervisory authority.
- California (CCPA/CPRA): you may request to know, delete, and correct personal information, and opt out of the “sale” or “sharing” of personal information and of targeted advertising. Our use of analytics and advertising cookies (such as Google and Microsoft) may be considered a “sale” or “sharing” under California law; you can exercise your choice through our cookie/consent controls and by enabling the Global Privacy Control. We do not discriminate against you for exercising your rights.
- Verification and authorized agents. We may need to verify your identity before acting on a request, and we honor authorized-agent requests where required by law.
13. Children’s Privacy
The Platform is not directed to children under the age required to consent in their jurisdiction, and we do not knowingly collect their personal information without appropriate parental or guardian consent. If you believe a child has provided us information without proper consent, contact us and we will take appropriate action.
14. Third-Party Links & Services
The Platform may link to third-party sites and services that we do not control. Their privacy practices are governed by their own policies, and we are not responsible for them.
15. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will provide reasonable notice (for example by email or an in-Platform notice) before they take effect. Your continued use of the Platform after changes take effect constitutes acceptance.
16. Governing Law
This Policy is governed by the laws of British Columbia, Canada, and the federal laws of Canada applicable there, consistent with the Platform Agreement & Consent, except where applicable data-protection law in your jurisdiction provides otherwise.
